How to prioritize overdue follow-ups

Review commitments and context before acting on an overdue list.

Identify explicit commitments

Start with work promised for a particular date, especially when somebody is waiting for your answer. Read the last note before assigning urgency. A date entered as a private reminder may carry a different meaning from a deadline agreed with the prospect. Treat those situations deliberately rather than sorting only by age.

Check whether the task still applies

A date can become stale because another teammate completed the work or the conversation changed direction. Confirm the current situation before sending anything. Update inaccurate records instead of assuming every overdue entry represents an unresolved request. This prevents duplicate contact and keeps the list useful for future reviews.

Choose an action you can finish

Group similar preparation work when helpful, but keep each response specific. If an agreed action cannot be completed immediately, provide an honest update and realistic timing. Simply choosing another date without communicating does not resolve the underlying commitment or help the person waiting on it.

Address repeated causes

A recurring backlog may indicate unclear responsibility, unrealistic timing, or notes that omit the intended action. Review these patterns with the team.
