Moving from a spreadsheet to a shared lead workspace

Plan the move around how people work, not just how rows are transferred.

Choose the migration scope

Identify records the team still needs and decide what historical information stays in an archive. Preserve backups instead of deleting old working copies indiscriminately. Map the operational fields and decide which long notes need a readable summary. A focused first migration is easier to review than an unexplained dump of every old list.

Define the cutover

Agree when new enquiries start going into the workspace. Otherwise one teammate may update the spreadsheet while another uses the application. If you allow an overlap, specify which system is authoritative and who reconciles changes. The rule should be simple enough that everyone can explain where a new record belongs.

Pilot representative records

Include a new enquiry, an active conversation, an international number, and missing optional values. Ask the actual users to inspect the result. Confirm they can find the information and understand the next step before importing the remaining batch. A technically successful upload can still produce records that are difficult to use.

Review the working process

The move succeeds when people can continue conversations confidently, not merely when all the rows have appeared in a new interface.
