A lead handoff checklist for small teams

Give the receiving teammate enough context to act without restarting the conversation.

Explain the purpose

State whether the next teammate is answering a technical question, preparing a proposal, or continuing the relationship. Avoid implying that every part of the conversation changes ownership automatically. Make responsibility explicit in your team process so the prospect does not receive conflicting answers from several people.

Summarize the latest exchange

Include the request, what has already been provided, and the remaining question. Link materials where the colleague has appropriate access. A concise summary is often more useful than a long block of copied messages. Identify what is confirmed and what still needs checking before the next response.

Transfer the action and timing

Record the promised next step and any agreed date. Ask the receiving teammate to acknowledge the handoff using your team’s chosen channel. Adding a note does not prove that someone saw or accepted the work. Resolve that ambiguity before assuming the prospect is being looked after.

Close the loop

Update the shared record after the next conversation and avoid simultaneous duplicate contact.
